About Our Client:

Our client is a leading real estate company in South Michigan, providing services to thousands of customers. We are looking for a motivated and organized Executive Virtual Assistant experience to join our team in maintaining the seamless execution of our client's real estate sales and operational processes.

 

Job Description:

As the Executive Virtual Assistant, you will provide essential support to your Realtor, oversee multiple projects, collaborate directly with the client, provide regular updates on key issues, and contribute to strategic brainstorming sessions. The role involves ensuring the team remains aligned with project goals, maintaining clear and consistent communication regarding upcoming tasks, and acting as a trusted right-hand support to your realtor. Additional responsibilities include managing virtual assistant tasks and conducting outbound calls to clients to confirm and coordinate upcoming appointments.

 

Key Responsibilities:

Provide Assistance to your Realtor: Support with daily tasks and project management to ensure seamless operations.

Collaboration: Collaborate with your client, provide regular updates on key issues, and contribute to strategic brainstorming sessions

Scheduling: Coordinate and schedule appointments, meetings, and installations.

Outbound Calls: Conduct outbound calls to clients to confirm and coordinate upcoming appointments.

Client Records: Maintain and update client records and sales databases.

Communications: Maintain clear and consistent communication regarding upcoming tasks

Reports and Presentations: Assist in the preparation of reports and presentations for internal and external use.

Data Entry: Perform accurate data entry tasks to maintain up-to-date records.

General Administration: Perform general administrative duties as needed to support the team and business operations.

 

Qualifications:

•Real Estate Experience

•Proficiency in Go High-Level CRM

•Degree in Business Administration or equivalent in experience

•Previous experience in a similar role, preferably in project management

• Strong organizational and time management skills.

• Excellent communication and interpersonal skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM/ERP software.

• Ability to multitask and prioritize effectively.

• Detail-oriented with strong problem-solving skills.

• A proactive and self-motivated attitude.

We need someone who can think independently and make informed decisions while maintaining clear and respectful communication with both the realtor and his clients.
